Create a project and assign several staff

Prepare client contacts, the site address, expected dates and staff. You need permission to create clients and projects.

Where to find itWorkspace → Clients / Projects
  1. 01

    Create the client

Search for an existing client first. If needed, create a client with their name, contact person and phone number to keep their projects together.

  2. 02

    Add project details

Create a project, select the client and enter its name, address, budget and dates. Include the estate and unit in the name for easier searching.

  3. 03

    Assign several staff

Search and select the manager, designer and site colleagues. Review the list. Assignment records responsibility; role permissions still determine access.

  4. 04

    Save and follow up

Save to open the project follow-up page. Record the first survey and outstanding tasks, then check the overview. Use My projects to narrow the list.

Check your work

Reopen the project and confirm the client, address, assigned staff and first update.

Does assignment hide the project from everyone else?

No. Project assignment does not create a separate access restriction. Company role permissions still apply.

Why is a staff member unavailable?

Check that they belong to the company and their account is active. New assignments cannot include disabled staff.

Keep project follow-ups for the next visit

Choose the correct project and prepare progress, unresolved issues and next steps. These notes are internal.

Where to find itProjects → Select project → Follow-ups
  1. 01

    Read the previous update

Review the newest record and its timestamp, then older updates as needed. The overview also shows the latest follow-up for handovers.

  2. 02

    Describe the change

Record completed work, confirmed client requirements and open decisions. Use specific details such as cabinet depth and the outstanding colour choice.

  3. 03

    Save and verify

Check the new content, author and Hong Kong timestamp. Records remain in the company project after leaving the page or signing in again.

  4. 04

    Continue in the same project

Read earlier notes before adding the next update. Completed projects can retain warranty follow-ups, and changes to assignments or stages also create history.

Check your work

Leave and reopen the project. Old and new records should coexist without being overwritten.

Will saving notify the client?

No. Follow-ups are internal text records, without automatic email, messages or AI chat.

Can concurrent updates overwrite each other?

Each addition is a separate record rather than a replacement of the whole project.

Track project progress, drawings and costs

Create the project and link designs, purchases, tasks and transactions to it.

Where to find itProjects → Select project → Overview
  1. 01

    Select the project

Search by name or filter your assignments. Confirm the client, address and staff before working on a project for a repeat client.

  2. 02

    Update the actual stage

Review survey, design and quotation, contract and start, materials and construction, inspection and handover, then payment and warranty. Check evidence before changing a stage.

  3. 03

    Open designs and images

Open the project designs, renders and completed tours. Edit the original design, or use a clearly named separate alternative for comparison.

  4. 04

    Review costs and next steps

Compare signed contracts, actual income and expenses, unpaid purchases, site plans and recent notes. Unpaid purchases are not paid expenses; cash balance is not profit.

Check your work

Keep the same project when moving between drawings, quotes and site work. Use the mobile tab selector.

Does changing a stage complete tasks?

No. Tasks, inspections and payments are separate records and require their actual outcomes.

Why do colleagues see different cost information?

Financial visibility follows roles. Design material access does not grant purchase-payment permission.
