Add staff, assign roles and disable accounts

A company administrator needs the person’s name, email, department and suitable role.

Where to find itSettings → Members / Roles
  1. 01

    Add a member

Enter name, email, department and phone, then choose a role. Check available seats and existing members to avoid duplicate accounts.

  2. 02

    Deliver the activation code

Give the generated code to the intended colleague so they can activate their account. It expires, works once and must not be publicly posted.

  3. 03

    Review the role

Check actual permissions on the roles page. Project assignment does not change the role, and financial writes require an appropriate role.

  4. 04

    Maintain account status

Update roles when responsibilities change and disable accounts when staff leave. Disabling does not delete their historical project records.

Check your work

Have the member use their own account and verify that access matches their role.

Is an invitation email sent automatically?

No. The company delivers the activation code; receiving a code is not proof that an email was sent.

Is a platform administrator a company administrator?

No. Platform account management and company business roles are separate.

Clock in, review attendance and request leave

Use your own account and confirm the date and requested leave period.

Where to find itWorkspace → Staff and attendance
  1. 01

    Clock in and out

Use the clock-in and clock-out actions at the actual times. Check today’s status; viewing a record is not a clock action.

  2. 02

    Review attendance

Review dates and times within your permitted scope. Use the attendance export when needed; administrative visibility follows permissions.

  3. 03

    Request leave

Enter type, dates and reason, save and check the request status. Review site staffing and inform the responsible person of the planned change.

  4. 04

    Check the decision

An authorised colleague reviews and approves or rejects the request. Return to the page to view the result; pending is not approved.

Check your work

Match attendance and leave status to actual arrangements and check day boundaries.

Does attendance calculate wages or MPF?

No. Attendance and leave are operational records; payroll and MPF calculations are not included.

Does a request send an external message?

No automatic external message is implied. Use the status displayed in the workspace.

Organise project files, photos and signed documents

Confirm the project and prepare the files. Supported types and size limits depend on the upload entry point.

Where to find itWorkspace → Documents / Project workspace → Files
  1. 01

    Choose project and category

Select the project and a category such as contracts, photos or delivery notes. Do not link a different project’s file to fill a missing record.

  2. 02

    Upload and name the file

Use a name containing date and purpose. If rejected, check the format and size; renaming an extension does not convert a file.

  3. 03

    Link the business record

Reuse a same-project attachment from contracts, diaries, receiving or handover to reduce duplicate uploads. Check the file against the record.

  4. 04

    Open and download

Open the file from its library or business record and verify readability. Company and role controls protect documents; public tutorials contain no private attachments.

Check your work

Reopen the file and check its project, category and business links.

Can I link any file from the company?

Relevant attachments must belong to the same project and respect the role’s read and write permissions.

Why does a phone photo fail to upload?

Check the supported format. Some photo tools accept only JPG, PNG and WebP, so HEIC needs conversion first.

Set company details, payment notes and account security

Prepare company contacts and payment notes. Company and member settings require administrator permission; account security applies to your own account.

Where to find itWorkspace → Settings
  1. 01

    Find a settings category

Search for bank, FPS, password or staff. Open company details to edit phone, email, address and website.

  2. 02

    Update payment notes

Enter correct bank or FPS instructions, review the document preview and save. These notes appear on documents and do not establish a bank connection.

  3. 03

    Review AI and furniture services

Check service and local-model status. An administrator handles service configuration. Never place service keys in public tutorials, images or notes.

  4. 04

    Review security and history

Change your own password under account security. Administrators or managers can search the audit history for who changed data and when. Watch for unsaved changes when switching categories.

Check your work

Save the intended category without overwriting another draft and verify printed company and payment details.

Do payment notes enable a payment gateway?

No. They are document text, without automatic charging or bank synchronisation.

Why is there no API-key field?

Service keys are managed through server configuration. Ask the system administrator to confirm the service state.

Manage company accounts, seats and expiry dates

A platform super-administrator account is required. Company administrators cannot use platform administration.

Where to find itHome → Platform admin
  1. 01

    Sign in to platform admin

Use the platform entry point and confirm that you are managing company accounts rather than working inside a company project workspace.

  2. 02

    Create the company

Enter company name, contact email and identifying details, then arrange administrator activation. Check the intended recipient.

  3. 03

    Set plan and seats

Apply the agreed plan, seat count and expiry date. These administrative records do not automatically charge a subscription.

  4. 04

    Review status and history

Activate, disable or renew according to actual authorisation and check the result and audit history. Enquiries appear in leads; follow-up contact is manual.

Check your work

Match the company status, seats and expiry to the agreed service and give activation details only to the intended administrator.

Can I impersonate a company to inspect business data?

No impersonation function is provided. Company business data and platform account management are separate.

Does changing a plan charge a subscription?

No. Automatic subscription charging is not currently provided; administrators manage plan and expiry records.
